FACULTY WEB PAGE POLICY AND GUIDELINES

 

Electronic media play a major role in projecting a positive image of the University. The purpose of this policy is to establish minimum guidelines that ensure the same high standards for UNA Web Pages as now exist for printed publications. The following policy and guidelines apply to all members of the University of North Alabama community acting in an official capacity for the University and/or using university resources.

POLICY STATEMENT

The purpose of UNA Web Pages is to enhance the educational mission of the University. All pages are subject to review by the University. The contents of all pages must abide by and conform to local, state, and federal law and to university policies. Pages that provide material relevant to an individual's professional role at the University are appropriate. However, pages that are recreational and provide little or no information pertaining to the University may not be linked to the UNA Web pages. Also, links will not be provided to clubs, businesses, churches, and other organizations not affiliated with the University.

Electronic documents are subject to the same university policies and standards as print publications. Accordingly, it is expected that proper attention will be given to spelling, grammar, style, mechanics, etc. All copyright and trademark laws apply. Web Page Masters must secure copyright permission and model releases to publish text, graphics, and photographs that are not in the public domain. Any work obtained from students must exhibit their prior consent and written permission in order to be used in university Web productions. Records of such permission must be on file in the Coordinator of Academic Technology office and the Web Page Master's office. These records must be kept current and reflect any additions and changes made to the page. Use of the University of North Alabama's name, trademarks, official logos, and other copyrighted materials must be in accordance with university policies.

Web pages that do not abide by university policies and/or guidelines are subject to removal from the University of North Alabama's Web server.

The support and maintenance of World Wide Web pages take much disk space, personnel time, and communication capacity. Computer and technology resources are subject to several limitations and many competing demands. The major priority for support of the Web pages is as a university publication and for instructional usage. Questions or comments about Web policies or guidelines should be directed to the Office of Academic Technology.

GUIDELINES

  1. The Supervisor of any department, organization, or a professor desiring a Web page should appoint an individual to be responsible for the development and maintenance of the Web page. This person, who must be a UNA employee, is known as the Web Page Master. Students must not be the Web Masters for university departments. They may be the Web Master for student organizations that follow strict compliance of university policy.

  2. The designated Web Page Master is responsible for the following: design, construction, and establishment of the page; planning, coding, and input of all page content; procurement of necessary copyright clearance and model releases; timeliness of page content; manipulation of page graphics; and on going maintenance and updates.

    • If the Department does not have the expertise to construct a web site, that expertise will be provided, if all content information is given to the Coordinator of Academic Technology in a pre-determined format and timely manner. The web site will then be constructed for that department.

  3. In accordance with the UNIVERSITY OF NORTH ALABAMA GRAPHICS STANDARD MANUAL, the following guidelinesconcerning graphics must be adhered to:

    • When using the UNA logo, the Web Page Master must point his/her code to the images already available on the Web server. The Coordinator of Academic Technology will provide the appropriate file names.

    • The university seal can only be used with written permission from the President. If this is obtained, an image will be provided.

  4. All statements contained within the Web pages must be consistent with and in compliance with the University's overall policies, mission, and purpose.

  5. UNA Web Pages must include the following information at the end of each page:

             - UNA Department, Organization, or Professor's Name
             - Web Master Name who is responsible for content
             - Date Last Updated
             - Link back to UNA Main page (www.una.edu)

  6. It is strongly encouraged that all web sites use Microsoft FrontPage 98 for web development. This will allow for interactive forms and the University's search engine functions.

    • All department web sites will follow the basic structure established at the department sample web site. Any variations must have approval by the Coordinator of Academic Technology. The sample department web site is located at http://www2.una.edu/infotech/newpage1.htm

    • There are several variations to the sample site. A web site could have different backgrounds, tables or pictures could be added, etc. However, the basic structure must stay similar to provide for easy navigation to visitors of your web site.

  7. If items from other directories on the UNA Web server are used, the Web Master must link his/her code to the existing item rather than copying it into his/her directory. This will save valuable server space. The Coordinator of Academic Technology will supply you with the proper location of image files.

  8. Faculty Home Pages must follow university guidelines, but are not subject to the basic structure mentioned previously. They must however follow the university guidelines as to the mission of the University and as a teaching aid to help students. The professor's home page may not be for personal gain or other non-academic use while located on the university's servers.

  9. The Coordinator of Academic Technology (Ext. 4454) is available to provide technical assistance in the construction of Web pages. Given sufficient lead-time, Academic Technologies can scan color pictures and slides for incorporation into university Web pages. Web Page Masters should provide their own floppy disks for these scanned images. The individual Web Page Master is responsible for any editing and resizing of such scanned images.

  10. Photos and images may be requested from the Publications Office on a limited basis. A charge will be levied for services rendered within normal time constraints as the workload permits. All images used on a web site must have a consent form from the person whose image is used.

  11. Programs providing small animation may be used at this time. Small sound files may also be used. Cgi & Java code is permitted in small amounts. The Web master is solely responsible for its coding. Video clips are discouraged because of the hard drive resources they use.

  12. Before files may be placed on the university server, a completed Departmental, Organization and Professors Web Page Responsibility form should be filed with the Coordinator of Academic Technology. This form must be accompanied with photocopies of copyright clearances and model releases for any images or documents used.

  13. Academic Technologies will create a directory for the page on the Web server when files are ready for publication. It is the Web Master's responsibility to notify the Coordinator of Academic technology when the site is ready and functional to be put on-line
